How to use checklists, project files and info files

Method: Using checklists

Handling iterating tasks reliably and without loss of time is an important base for efficient and effective work.

That's why it is necessary to develope and cultivate checklists for all of your complex iterating tasks.
Examples: Year-end closing, How to use a technical machine, Preparation for a holiday, Writing a paper.

Using checklists with meineZIELE

Outside the computer folders for checklists with an alphabetic order have been proved.

Using the pc this is even more comfortable: With meineZIELE you can create clearly arranged checklists and integrate them into your plans.

For checklists the hierarchic structure is useful and rearranging them is very easy.

How is it done?

Use a new file to develope the checklist. Write down all necessary points and bring them into the desired order.
Save the file and name it e.g. "monthly_report".

Now open the file you use for your aims and tasks. Open the entry you want to contact the checklist with. In the window for 1-click-filing you find the button for checklists: the blue tree .

Click on the checklist button to open a file dialogue from which you can choose your checklist file ("monthly_report").

Now the blue tree icon appears behind the entry.
When you click on this icon the checklist will be integrated.


In the 1-click filing you can choose from several options.

Click on the desired checklist to make them visible :

  • Load check list
  • Check in as project file
  • Check in as info file
  • Move to this file

 

Project files

When you are working in teams it doesn't always make sense to exchange single tasks. In fact you want so change things in a project and share these informations with the others. While you are using meineZIELE it can be really useful to integrate files for a while and outsource them afterwards. This can be done with "project files".

Check-in/ -out project files

Open the menu for "Import/ Export" and click on
"Check-in project file". Choose the desired project file in file dialogue. The project file will be integrated at the end of your file.

For the other team members this file is blocked for the time it is checked-in into your file: This means they can still see the file entries but cannot change them.

The project file is marked with a colored "P" that marks all of the project file entries. You are asked to choose the color when you check-in the file.

For checking-out the project file: Open the first entry of the marked area and go back to the menu for "Import/ Export" and click on "Check-out project file".
All entries are saved in the original file and removed from your file completely. Now the file is deblocked for the other team members again.

Attention: Changes and additions are visible for the others only after the project file is checked out.

 

If a certain file is planned to be checked-in and -out several times you can also open it from the "1-click filing"

Info files

There might be the case that you just want to be informed about a project continuously but not change entries of the file. Then it makes sense to check-in a file as a "info file".

It is done almost in the same way as project files, just click on "Check-in info files" instead.

The difference is: Now the original file is not blocked but can be changed by other team members.

And there is a function for updating the file.
