Export Interfaces (for advanced users)

1. Public follow up

For exchange of tasks and documents between mZ users no export function is needed. But there are other forms of organization, where others might profit from 1-click-filing with mZ:

A typical example is follow up: Take for example somebody who manages documents for some department using a 31-pocket system, checking the corresponding pocket every day and giving documents dated for the current month to colleagues who are in charge for this. To get hold of a document on demand, he will have to search. This is not an antiquated exception but thousendfold daily routine.

With mZ 1-click-filing he could do better: He would use many more pockets with just one incident documented in each one. Number the pockets starting with letters V,W,X,Y,Z like X013. In Options/ Interfaces / Export set a path, to which an index is written as a textfile each time You save Your mZ master file. This index file will only have lines of Your tasklist, which have documents in pockets starting with the above mentioned letters.

Now set a link to this file on the desktop of each colleague. Then one click will bring the current index to the screen and a document will be found in seconds.

Tip 1:

Do not open the rtf-file with Word. Use Wordpad instead for not blocking updates. (Automatic assignment may be changed in Workspace - Extras - Folder options - file types)

Tip 2:

If somebody takes away a document he should leave a note with his name

 

2. Export data

Want to show Your budget as a pie chart? Publish team objectives on the intranet? Get Your outline into mindmanager? Here is how to export data:

csv + html

There is a fully automatic export option for csv (with any separators) or HTML-file. Settings are in Options / Interfaces / Export at (1) and (2). Export is run with file saving. This ensures that the export file has the current content.

Choose data fields

Normally data export is only for a few data fields. Therefore mZ allows to select them (separately for csv and html).

 HTML will show icons or bold or italic fonts. There is a path in the settings where to place icons. csv instead would only have icon numbers.

Partial Export (XML)

There is an import/export menu allowing for partial export controlled by selection settings. Please note that opening and closing parts of the outliner treeis used for fine tuning. Only visible entries are exported. The export file will contain options and setting of the original file and can therefore be opened by mZ.

Export as mindmap

mZ does not only provide an own mindmap view, but can also exchange mindmap information with Freemind (for free on http://freemind.sourceforge.net/wiki/index.php/Main_Page)  and Mindmanager. During installation connect file extension mm to freemind. Then mZ starts freemind immediately after export and shows the mind map.

The center of the mindmap is named by the first headline of the first printing profile or alternatively meineZIELE. Export honours selection settings. Exchange with Mindmanager is in  XML. mZ only imports mindmaps from mindmanager if saved as XML.

Import and Export Outlook tasks

Outlook is standard for the daily bits and pieces. Many big companies want users to copy tasks and events from mZ to Outlook (learn more at Outlook-Interface)

Quick import from Excel via clipboard into new lines

If You have a tasklist as a column in Microsoft Excel You might just markup this fields, copy and then paste them with "import an excel column from clipboard" to mZ. The lines will be indented by one level.

Such task descriptions are sometimes lengthy. Therefore mZ puts a copy into the text detail field if it is longer than 40 characters. If You insert two colons (::), only text to the left of this will become task description. The text detail will hold the whole text. If You copy more than one column, mZ expects the second column to hold the date and the third column to hold the field "who?".

Import Excel-Column into existing lines

This is even more flexible with single columns. Examplel: Your Excel-File contains al list of 30 computer programs, which You have to change. Column B has the program names. Yout take them to mZ as described by copying column B. But now You want to add the user names from column M into mZ too.So You select them in Excel an "copy".

 

 There is no field as "user name" in mZ. Therefore You name the free field 1 as "user" and add it as a column to Your goals view.  (2).

 

In mZ You click into the first of the 30 imported lines into the column "user" (1). Then goto menu  "Import/Export", then "Quick Import" and then (3) "Import an Excel column at opened data field". Done. (Please remind: Inserting does not depend on whether a line is opened or closed.)
